Using the Kardex Alpha system simplifies your filing process by combining alphabetical and color-coding techniques. Here's how it works:
When organizing by individual names, you will block out the first letter of the surname (last name) and use the given name (first name) to determine the folder color. For example, for John Smith, you would use a white folder for the letter “J” (first name) and block out the letter “S” (surname) with a purple label that represents “S” on the A-Z scale. If you have multiple individuals with first names starting with “J” and surnames starting with “S,” you may need to pull several files to find the specific person you’re looking for. When you return the file, simply place it at the front of the section, rather than finding its exact spot, ensuring quicker and more efficient access.
For company names, the first letter of the company's name is blocked out, and the second word determines the folder color. For instance, with "Sentry Insurance," the letter “I” (for Insurance) would indicate a green folder, while the “S” (for Sentry) would be blocked out with a purple band representing “S.” This method helps maintain a systematic and easily navigable filing system, reducing the time spent searching for specific files.
